User Data Deletion

This page explains how users, patients, clinic representatives and other individuals can request deletion of personal data connected to Visit Our Clinic services.

1. Purpose of this page

This User Data Deletion page explains how you can request deletion of personal data connected to Visit Our Clinic ("VOC", "we", "us" or "our") services, including website inquiries, widget inquiries, clinic applications, user accounts, public profile workflows, campaign-related records and dashboard data.

This page should be read together with our Privacy Policy, Terms of Service, Cookies Policy and any applicable Clinic Partner Terms.

2. Who can request deletion

You may request deletion if you are a website visitor, patient or potential patient who submitted information through a VOC form or widget; a clinic representative who created an account or submitted application data; or another person whose personal data may be processed by VOC.

We may need to verify your identity, your email address, your relationship to a clinic account, or your authority to make the request before we can act on it.

3. How to submit a deletion request

To request deletion, contact us through the contact method published on the Visit Our Clinic website or any dedicated privacy contact address we publish in the future. Please include enough information for us to identify the relevant data, such as your name, email address, phone number, clinic name, inquiry date, widget location, account email or other relevant details.

Do not send sensitive medical documents unless we specifically request them for verification. In most cases, we only need enough information to locate the relevant record.

4. Information that may be deleted

Depending on the request and applicable law, VOC may delete or de-identify account data, inquiry data, contact data, application data, support messages, dashboard records, analytics identifiers, campaign-related contact records or other personal data that is no longer needed for the purposes described in our Privacy Policy.

If deletion is not possible for technical or legal reasons, we may restrict access, de-identify the information, suppress further use, or retain only the minimum information required for compliance, security or recordkeeping.

5. Clinic inquiries and third-party clinic records

If you submitted an inquiry through a VOC widget or form, that inquiry may have been routed to the relevant clinic or healthcare provider so the clinic could respond directly.

VOC can process deletion requests for data controlled by VOC. However, a clinic may independently control its own copy of the inquiry, patient communication, medical record, appointment record, billing record or follow-up communication. In that case, you may also need to contact the clinic directly to request deletion from the clinic's systems.

6. Clinic accounts and public profile data

Clinic representatives may request deletion or closure of account data, application data or profile-related personal data where applicable. Public business information about a clinic may be handled differently from personal data and may be retained, archived, unpublished or updated depending on the circumstances.

If a clinic leaves the network, VOC may remove or deactivate dashboard access, public profile visibility, widget tokens, analytics access or campaign services according to the applicable Terms or Clinic Partner Terms. Some business records may be retained for legal, accounting, security or dispute-resolution purposes.

7. Data we may need to retain

We may retain certain data where required or permitted by law, including records needed for tax, accounting, billing, fraud prevention, security, abuse prevention, legal claims, contract enforcement, audit logs, dispute resolution or compliance obligations.

Where possible, retained data will be limited to what is necessary for the relevant purpose and access will be restricted.

8. Cookies, analytics and marketing identifiers

You may delete cookies and local storage through your browser settings. Where we provide a cookie preference tool, you may use it to reject or manage non-essential analytics and marketing technologies.

Some analytics or campaign providers may also maintain their own identifiers or records. You may need to use those providers' privacy tools or browser controls to manage third-party data directly.

9. Timing of deletion requests

We aim to respond to deletion requests within a reasonable time and in accordance with applicable law. Complex requests, requests involving multiple systems, clinic records, verification steps or legal review may require additional time.

We may ask for clarification if we cannot identify the relevant data or verify that you are authorized to make the request.

10. Account closure does not automatically remove all records

Closing a dashboard account, ending a clinic membership, deactivating a widget token or removing a public page does not always delete all related records immediately. Some records may remain in backups, logs, invoices, security systems, legal files or third-party provider systems for a limited period.

11. Contact

For deletion requests, please use the contact method published on the Visit Our Clinic website. If we publish a dedicated privacy or data protection contact address, that address should be used for deletion and privacy-related requests.
