Privacy Policy

This Privacy Policy explains how Visit Our Clinic collects, uses, stores and shares personal data across its website, clinic network, widget infrastructure, public profile pages, campaigns, analytics and related services.

Effective date: July 2, 2026

1. Who we are

Visit Our Clinic ("VOC", "we", "us" or "our") provides a healthcare network platform for clinics and healthcare providers. Our services may include public clinic profile pages, destination pages, website widget infrastructure, campaign materials, analytics, inquiry routing, clinic dashboards and related operational tools.

VOC is not a hospital, clinic, medical practice, emergency service, medical adviser, insurance provider or treatment provider. Medical services, medical advice, diagnosis, pricing, availability, treatment decisions and patient communication are the responsibility of the relevant clinic or healthcare provider.

2. What this Privacy Policy covers

This Privacy Policy explains how we collect, use, store and share personal data when you visit our website, submit an inquiry through a VOC widget, apply to join the network, create an account, use a clinic dashboard, interact with public clinic profile pages, receive campaign-related services or communicate with us.

This Policy applies to website visitors, potential patients, clinic representatives, partner clinics, administrators, vendors and other people who interact with VOC services.

3. Personal data we may collect

Contact and identity data: name, email address, phone number, country, clinic name, role, business contact details and account identifiers.

Clinic and application data: clinic profile information, location, specialties, treatments, website details, public business information, submitted documents, verification notes and application status.

Inquiry data: information submitted through VOC widgets or forms, including treatment interest, travel preferences, accommodation requests, patient support questions and related contact details.

Technical and usage data: IP address, browser type, device information, referral source, pages viewed, widget events, timestamps, session data, authentication data and analytics events.

Payment and billing data: membership plan, invoice status, billing period and payment metadata. Payment card details may be processed by third-party payment providers and are not intended to be stored directly by VOC.

Communication data: emails, support requests, administrative notes, campaign instructions and messages exchanged with us.

4. How we use personal data

We use personal data to operate the VOC platform, review clinic applications, create and manage clinic accounts, display approved public clinic profiles, provide widget functionality, route inquiries to clinics, maintain analytics, support campaign materials, respond to requests, secure the platform, prevent abuse, process billing and comply with legal obligations.

We may also use aggregated or de-identified information to understand platform performance, improve the widget, improve campaign infrastructure and monitor the health of the network.

5. Widget inquiries and clinic responsibility

When a person submits an inquiry through a VOC widget, the information may be processed by VOC and made available to the relevant clinic or healthcare provider so the clinic can respond directly.

Clinics are responsible for their own medical communication, patient relationship, legal compliance, pricing, treatment availability, treatment outcomes, professional obligations and any medical advice they provide. VOC provides infrastructure and does not make medical decisions on behalf of clinics or patients.

6. Legal bases for processing

Depending on the context, we may process personal data because it is necessary to provide requested services, to take steps before entering into a contract, to perform a contract with a clinic or user, to comply with legal obligations, based on legitimate interests in operating and securing the platform, or based on consent where required, such as certain cookies or marketing communications.

7. Sharing personal data

We may share personal data with clinics or healthcare providers relevant to an inquiry, service providers that help us operate the platform, hosting and database providers, email providers, analytics providers, payment processors, professional advisers, authorities where legally required, and technology partners used to deliver VOC services.

We do not sell patient inquiries as standalone data. We use inquiry data to operate the VOC service, connect the requester with the relevant clinic and maintain platform functionality.

8. Public clinic profiles and campaign materials

Approved clinics may have public profile pages, destination placements, status badges and campaign materials. These may include clinic business information, images, logos, treatments, locations, specialties, public descriptions and other information supplied by the clinic or collected from public business sources for network review purposes.

Clinic representatives are responsible for ensuring that submitted clinic content is accurate, lawful, authorized and does not infringe third-party rights.

9. Cookies and similar technologies

We may use cookies, local storage and similar technologies to keep the website functional, support authentication, remember preferences, understand usage, measure widget performance and improve services. Some technologies may be provided by third-party providers.

More information will be provided in our Cookies Policy. Where required by law, we will request consent before using non-essential cookies or similar tracking technologies.

10. Data retention

We keep personal data only for as long as reasonably necessary for the purposes described in this Policy, including providing services, maintaining accounts, managing clinic applications, supporting legal and accounting obligations, resolving disputes, preventing abuse and enforcing agreements.

Inquiry, account, billing, analytics and application records may have different retention periods depending on the service, legal requirements and operational needs.

11. Data security

We use reasonable technical and organizational measures designed to protect personal data against unauthorized access, loss, misuse, alteration or disclosure. No online service can guarantee absolute security, and clinics and users are responsible for protecting their own login credentials and authorized access.

12. International transfers

VOC services may rely on infrastructure, vendors or service providers located in different countries. Where required, we aim to use appropriate safeguards for international transfers of personal data.

13. Your privacy rights

Depending on your location and applicable law, you may have the right to request access to your personal data, correction, deletion, restriction, objection, portability, withdrawal of consent and information about how your data is processed.

Some data may need to be retained where required for legal, security, accounting, fraud prevention, dispute resolution or legitimate business purposes. We may need to verify your identity before responding to a request.

14. Data deletion requests

You may request deletion of personal data by using the contact method provided on our website or through our User Data Deletion page. If the data relates to a clinic account, inquiry, public profile or campaign, we may need additional information to confirm the request and identify the relevant record.

Where an inquiry has already been shared with a clinic, the clinic may act as an independent controller for its own copy of the data. In that case, you may also need to contact the clinic directly.

15. Children and minors

VOC services are not intended for children. We do not knowingly collect personal data from children through the platform. Medical inquiries involving minors should be handled directly by the relevant clinic and parent or legal guardian.

16. Changes to this Policy

We may update this Privacy Policy from time to time as our services, legal obligations or operations change. The updated version will be posted on this page with a revised effective date.

17. Contact

For privacy questions or data requests, please contact us through the contact method published on the Visit Our Clinic website. If we publish a dedicated privacy or data protection contact address, that address should be used for privacy-related requests.
