Refund Policy

This Refund Policy explains how refunds may apply to Visit Our Clinic membership services, quarterly billing, public profile access, widget services, campaign materials and related clinic network services.

1. Scope of this Refund Policy

This Refund Policy applies to paid Visit Our Clinic ("VOC", "we", "us" or "our") membership services for clinics and healthcare providers, including network participation, public profile access, widget access, dashboard access, analytics, campaign infrastructure and related services unless a separate written agreement states otherwise.

This Policy should be read together with our Terms of Service and any applicable Clinic Partner Terms, order form, invoice, written proposal or membership agreement.

2. Quarterly membership billing

VOC membership may be billed quarterly, meaning that a clinic pays for a three-month service period in advance. The exact membership fee, billing date, included services and renewal terms may be described in the relevant order form, invoice, dashboard, written offer or Clinic Partner Terms.

Unless otherwise agreed in writing, payment of a quarterly membership fee gives access to the applicable VOC services for that billing period, subject to these Terms, network rules, technical availability and continued compliance by the clinic.

3. Refunds for unused full months

If a clinic cancels a quarterly membership before the end of the paid period, VOC may refund only full unused months that have not started or expired, unless a different written agreement applies.

Partial months are generally not refundable. For example, if a clinic cancels during the second month of a three-month billing period, the first month and the active second month may be treated as used, and only the third full unused month may be eligible for refund.

4. Non-refundable items

The following items are generally non-refundable once work has started or services have been provided: setup work, onboarding, verification review, profile preparation, content formatting, widget configuration, custom design work, campaign materials, landing page preparation, administrative work, consulting, strategy, completed monthly access, and any other custom or delivered work.

Third-party costs are also generally non-refundable, including advertising spend, payment processor fees, platform fees, domain, hosting, software, travel, media, stock asset, AI generation, external contractor or vendor costs paid or committed for the clinic.

5. Membership cancellation

A clinic may request membership cancellation through the contact method, dashboard process or written procedure provided by VOC. Cancellation is effective only after VOC receives and processes the request or as otherwise stated in the applicable agreement.

After cancellation, VOC may deactivate or remove membership benefits, public profile visibility, partner status display, widget tokens, analytics access, dashboard features, campaign access and other services connected to the membership.

6. Token, widget and profile deactivation

If membership ends, VOC may deactivate the clinic's widget token, API access, analytics, profile visibility, campaign pages or other network services. Deactivation of VOC services does not always mean that widget code is physically removed from a clinic website.

If the widget was installed by the clinic, its developer, agency or another third party, the clinic is responsible for physically removing the code from its own website. If VOC installed the widget as part of an agreed service, VOC may assist with removal if the clinic provides temporary and adequate technical access.

7. No refund for policy breach or misuse

VOC may suspend or terminate services without refund if a clinic breaches the Terms of Service, Clinic Partner Terms, payment obligations, content rules, legal obligations, network standards or uses the Services in a misleading, unlawful, harmful or abusive manner.

VOC may also refuse refunds where the clinic has received substantial benefit from the Services, requested custom work, approved campaign or profile work, caused delays, failed to provide required information, or prevented delivery through lack of cooperation or technical access.

8. Campaign and advertising refunds

VOC membership refunds do not include refunds for third-party advertising spend or campaign platform costs. Advertising budgets paid directly to platforms such as Meta, Google or other providers are governed by those platforms' own billing and refund rules.

Campaign creative work, landing page work, campaign setup, design templates, copywriting, analytics setup and related materials may be non-refundable once work has started or been delivered.

9. Payment processor fees and taxes

Refund amounts may be reduced by payment processor fees, bank fees, currency conversion costs, chargeback fees, taxes, VAT, withholding, or other transaction costs where such amounts are not recoverable by VOC.

Clinics are responsible for any tax, accounting or regulatory treatment of payments and refunds in their own jurisdiction unless applicable law states otherwise.

10. How to request a refund

To request a refund, contact VOC through the contact method published on the Visit Our Clinic website or the billing contact provided in your membership communication. Please include the clinic name, account email, invoice or payment reference, cancellation date and reason for the request.

VOC may request additional information before processing a refund. Approved refunds will usually be returned to the original payment method where possible.

11. Chargebacks and payment disputes

If a clinic initiates a chargeback or payment dispute without first contacting VOC, VOC may suspend membership services, dashboard access, widget access, public profile visibility, campaign work and related services while the dispute is reviewed.

Chargebacks may also result in additional fees, delays or account restrictions depending on payment provider rules.

12. Changes to this Refund Policy

We may update this Refund Policy from time to time as our services, billing model, membership structure or legal obligations change. The updated version will be posted on this page with a revised effective date.
